What is club management software?
Club management software is a platform that handles the recurring work of running a membership-based community: collecting dues, scheduling events, tracking attendance, sending reminders, managing waitlists, and providing a member directory. Unlike generic event tools (Eventbrite, Luma) or group-chat apps (WhatsApp, GroupMe), club management software is built around the ongoing member lifecycle — signups, renewals, grandfathering, cancellations — not one-off events.
A well-designed club management platform solves four recurring pain points for organizers: (1) collecting dues reliably without chasing people, (2) coordinating recurring events without re-building the list every week, (3) handling policy changes (price increases, new waivers, cancellation notice) without losing existing members, and (4) giving members a lightweight way to show up without installing yet another app.
Who's In Clubs is purpose-built for real-world clubs — running, book, hobby, sports, alumni, faith, neighbourhood — at $8.25 per month flat, regardless of member count. It includes automated Stripe dues collection, recurring event scheduling with waitlists, QR check-in, family / household plans, scheduled price changes with 14-day notice and grandfathering, cancellation-notice policy enforcement, pause/freeze membership, engagement scoring, and an immutable audit trail on all policy changes.

Club management software FAQs
The questions organizers ask before picking a platform.
What is club management software?▼
Club management software is a platform that handles the recurring work of running a membership-based community: collecting dues, scheduling events, tracking attendance, sending reminders, managing waitlists, and providing a member directory. Unlike generic event tools (Eventbrite, Luma) or group-chat apps (WhatsApp, GroupMe), club management software is built around the ongoing member lifecycle — signups, renewals, grandfathering, cancellations — not individual events. Who's In Clubs is $8.25/month flat and includes all of the above with no per-member fees.
How much does club management software cost?▼
Pricing varies widely. Who's In Clubs is $8.25/month flat, regardless of member count. Mighty Networks is $41–360/month. Circle is $49–399/month. Wild Apricot is $60–600/month depending on member tier. Spond and TeamSnap charge per-member or per-feature fees that scale with club size. GroupMe and Facebook Groups are free but don't handle RSVPs, payments, or governance.
What features should I look for in club management software?▼
The essential feature set: (1) unlimited members with tiered memberships, (2) automated dues collection via Stripe or similar, (3) recurring event scheduling with waitlists, (4) attendance tracking with QR check-in, (5) member communications (email, WhatsApp, SMS), (6) grandfathering for existing members when policies change, (7) cancellation notice policy enforcement, (8) family/household plans, (9) pause/freeze membership, (10) engagement scoring or member health signals, (11) renewal pipeline management, (12) audit trail on all policy changes. Who's In Clubs includes all twelve.
Do members need to download an app to join a club?▼
Not with Who's In. Members receive a link (via WhatsApp, email, or QR code), tap to join, and they're in — no app download, no account creation, no password. Mighty Networks, Circle, Spond, and TeamSnap all require app downloads and account creation, which creates signup friction and drops conversion rates. Who's In is a PWA, so members can optionally install it to their home screen but never have to.
Can club members pause their membership without cancelling?▼
Yes — Who's In Clubs supports Stripe pause_collection. Members (or admins on their behalf) can pause billing for a specified future period, and the membership automatically resumes on the chosen date. This is important for seasonal clubs (winter-only hiking, summer-only swimming), clubs where members travel or have medical issues, and reducing churn on cancellations that would otherwise be permanent.
How do scheduled price changes work?▼
When you change a membership price, Who's In Clubs requires a 14-day minimum notice period and automatically emails every active member. Existing members are grandfathered — they continue at the old price until they cancel or you explicitly re-charge them. New signups go through at the new price. This prevents the "I didn't know you were charging me more" disputes that typically follow price hikes on legacy platforms.
Can I close a club to new members without cancelling existing ones?▼
Yes — the "close-to-new-members" feature stops new signups while existing members continue untouched. Useful when a club reaches natural capacity (a 100-person running group can't handle 200), when you're testing a membership tier, or when you want to temporarily pause intake while onboarding new admins.
Does Who's In Clubs support family and household plans?▼
Yes. Each family plan has one paying principal with configurable sub-accounts (default: 2 adults + 2 dependents under 18, adjustable per club). Each sub-account gets their own RSVPs, QR check-in, and attendance history — the principal sees them consolidated. This is standard in sports clubs (parents + kids on the same team), swimming/fitness clubs, and neighbourhood/residents' associations.
What happens to member data if I cancel Who's In Clubs?▼
You own your member data. Before cancelling, you can export a full CSV of members (with contact info, tier, payment status, join date) and event history. Who's In retains data for 30 days after cancellation in case you reactivate, then deletes it per our privacy policy. Members are notified by email when a club is being wound down so they can retrieve their own records.
Is Who's In Clubs a good alternative to Mighty Networks or Circle?▼
Yes, particularly for real-world clubs that meet in person rather than online-course communities. Mighty Networks and Circle are optimized for creators selling courses and gated content — spaces, pathways, paywalls. Who's In Clubs is purpose-built for groups that meet every week (running, book clubs, sports teams, hobby groups) and need lightweight member management, not content hosting. At $8.25/mo flat vs $41–399/mo, it's also 5–48× cheaper.
Ready to run your club on $8.25 a month?
Unlimited members. Free for members. Built for real-world communities that actually meet.
