Switch from Cvent to Who's In

Cvent charges $10,000+ per year with complex contracts and long onboarding. Who's In Conference gives you multi-track agendas, speaker management, and attendee check-in at a fraction of the cost.

Everything included in one simple plan. No credit card required to start.

Why organizers switch from Cvent

$10,000+/year enterprise pricing

Cvent pricing starts in the five figures and scales with attendee count.

Who's In Conference is free for core features. Paid features start at $40.83/month. No per-attendee upcharges.

Complex setup and onboarding

Cvent requires weeks of onboarding, dedicated account managers, and training sessions.

Who's In is self-service. Set up a conference in under an hour. No training needed, no account manager required.

Long contract terms

Cvent locks customers into multi-year contracts with automatic renewals.

Who's In has no contracts. Pay monthly, cancel anytime. No lock-in, no cancellation fees.

Step 1: Export from Cvent

Get your data out

1

Export your attendee/registrant data

In Cvent, navigate to your event's reporting section. Generate an attendee report and export as CSV or Excel.

Export from each event individually as Cvent doesn't support cross-event bulk exports easily.

2

Document your agenda and sessions

Go to your event's Agenda section and note all sessions: titles, descriptions, speakers, times, tracks, and room assignments.

3

Export speaker information

Download your speaker roster including names, bios, headshots, session assignments, and contact information. Check the Speakers module in your event setup.

4

Save sponsor details and tiers

Document your sponsor tiers (Platinum, Gold, Silver), pricing, benefits, logo placements, and contact details. Save sponsor logos and descriptions.

5

Download event branding assets

Save your event logo, banner images, email templates, and any custom CSS/branding from Cvent's design tools. You'll re-upload these to Who's In.

Step 2: Set up on Who's In

Get running in minutes

1

Create your Who's In Conference

Sign up at whos-in.app/conference and create your conference. Set your event dates, venue, description, and branding.

You can create the conference well before your Cvent contract ends.

2

Build your multi-track agenda

Use the agenda builder to create tracks, add sessions with times and descriptions, and assign rooms.

3

Add speakers and their sessions

Create speaker profiles with bios and headshots, then link them to their sessions. Speakers can be tagged to multiple sessions across tracks.

4

Set up sponsor tiers

Create your sponsor tiers (Platinum, Gold, Silver, etc.) with logo placement and benefits. Upload sponsor logos and descriptions.

5

Configure registration and tickets

Set up registration types (Early Bird, Regular, VIP, Speaker) with Stripe-powered payment processing.

Connect Stripe once and payments deposit directly to your bank account.

6

Import your attendee list

Upload your Cvent attendee export CSV. Map columns to Who's In fields. Pre-registered attendees can check in via QR code at the venue.
