Getting Started

Who's In is a free event management platform at whos-in.app with RSVP tracking, payments, waitlists, and QR check-in. It comes in four editions: Events (free forever), Clubs ($8.25/mo), Studio (from $15.83/mo), and Conference (from $40.83/mo).

Events are free forever with a 2.7% flat fee on paid tickets only. There are no monthly fees, no per-event fees, and no hidden charges. Premium products (Clubs, Studio, Conference) have separate subscription pricing.

No. Guests can RSVP with one tap — no account creation required. They simply click the RSVP link shared via WhatsApp, email, or any other channel and confirm their attendance instantly.

Sign up for a free account at whos-in.app, click "Create Event", fill in your event details (title, date, location, capacity), and share the generated link with your guests. The whole process takes under 60 seconds.

Everything from casual meetups and fitness classes to paid conferences. Who's In works for yoga sessions, hiking groups, book clubs, workshops, networking events, corporate seminars, multi-day conferences, and any other gathering you can think of.

Yes. Who's In works globally and is available in 10 languages. Payments are processed via Stripe, which supports 46+ countries. The platform is accessible from any modern web browser worldwide.

Features

When your event reaches full capacity, additional RSVPs are automatically placed on the waitlist. If someone cancels, the next person on the waitlist is automatically promoted and notified — no manual intervention required.

Yes. Who's In supports weekly, biweekly, and monthly recurring events with automatic creation. Set it once and your recurring event series is generated automatically, each with its own RSVP tracking and attendee list.

Payments are processed securely through Stripe Connect. Organizers pay a flat 2.7% fee on paid tickets — nothing more. Funds are deposited directly into your connected Stripe account with fast payouts.

Who's In generates unique QR codes for each attendee. At your event, scan QR codes with any smartphone camera to check guests in instantly. It even works offline so you're never dependent on venue Wi-Fi.

Yes. Who's In sends automated WhatsApp and email reminders to confirmed attendees. You can also enable morning-of reconfirmation, which asks attendees to confirm they're still coming on the day of the event.

Yes. Who's In provides a REST API and WebMCP tools for AI agent integration. The OpenAPI 3.1 specification is publicly available. AI assistants like ChatGPT, Claude, Gemini, and Grok can manage events on your behalf via OAuth 2.0.

Yes. You can add custom branding including your logo, brand colors, banner images, and custom guest registration fields. Each event gets its own shareable URL with your personalized branding.

Who's In provides attendance rate tracking, revenue analytics for paid events, trend reporting over time, and no-show rate monitoring. Studio and Conference editions include advanced analytics with instructor performance and session-level insights.

Yes. Every event supports a public photo album with up to 10 images (max 5MB each) — JPEG, PNG, WebP, GIF, and HEIC formats. Photos appear as a responsive grid with a keyboard-navigable lightbox. The first photo is automatically used as the event's Open Graph image for Facebook, X, LinkedIn, and WhatsApp previews. Included on every edition — no subscription required. Toggle "Photo Album" in the Event Media card to enable.

Yes. Every event supports up to 3 downloadable documents (max 2MB each). Whitelisted formats: PDF, Microsoft Office (Word, Excel, PowerPoint), Apple iWork (Pages, Numbers, Keynote), and plain text (txt, csv, rtf). Attendees see a clean list with download buttons on the public event page. Perfect for waivers, agendas, packing lists, menus, prerequisites, and post-event materials. Included on every edition — free on Events, no extra cost on Clubs/Studio/Conference.

Add your handles for X, Facebook, Instagram, YouTube, TikTok, LinkedIn, Snapchat, and Reddit in your organiser profile. Icons appear automatically on every upcoming event page — attendees can follow you for future events, photos, and recaps. When you update your socials, Who's In fans the change out to all your upcoming events automatically — no per-event editing. Combined with the LinkedIn verified badge, linked socials double the trust signal for professional events.

Yes. Photos appear in the event page's public photo gallery; documents appear as public download links. This is intentional — attendees need to see them before and after the event. Don't upload confidential files. Every upload passes server-side MIME, file-size, and storage-path validation before being accepted, and storage security rules enforce the same limits at the infrastructure level.

Who's In Studio

Who's In Studio is a class scheduling and client management platform built for fitness studios, yoga spaces, and wellness centers. It includes instructor management, client booking, class scheduling, and integrated payments — starting at $15.83/mo.

Both plans include all Studio features. The only difference is member capacity. Starter ($15.83/mo) supports up to 99 active members — perfect for boutique studios. Growth ($40.83/mo) has no member limit — ideal for studios with 100+ clients. An "active member" is anyone with an active membership or unused class pack credits.

Yes. Each studio gets a branded booking page at whos-in.app/s/your-studio where clients can browse the schedule, book classes, and manage their reservations without downloading an app.

Yes. Studio supports class packs, drop-ins, and recurring memberships. You can create unlimited pricing tiers — for example, 10-class packs, monthly unlimited memberships, or drop-in pricing — all managed through Stripe.

Yes. Studio includes instructor profiles with photos and bios, availability management, class assignment, and payroll tracking. Instructors can view their own schedule and manage their classes.

Yes. Class waitlists work the same way as event waitlists — when a spot opens up, the next person on the waitlist is automatically promoted and notified. This helps maximize class attendance and revenue.

No. Members must have an active membership or class pack with remaining classes to book. Walk-in guests can be added by studio staff from the Check-In tab.

Any unused classes are forfeited. Members will see a "pass expired" message when they try to book and will need to purchase a new pack. You can set expiry periods from 7 to 365 days per plan.

Yes. Go to Admin → Studio → Financials, find the member, click Refund, and enter any amount up to the original payment. The refund is processed via Stripe and the member receives a confirmation email.

One member can add up to 5 family members (kids, spouse, etc.) to their account. When booking a class, they choose who the booking is for. All bookings use the parent account's class pack or membership.

Stripe is required to accept payments for paid memberships and class packs. You can still use Studio with free plans without Stripe. Connect Stripe during onboarding or later in Settings.

Who's In Conference is a full-featured conference management platform starting at $40.83/mo. It includes registration, badge printing, QR check-in, speaker management, sponsor tiers, and multi-track session scheduling.

Yes. Conference includes speaker profiles with bios, session assignments, and schedule management. For sponsors, you can create multiple tiers (Platinum, Gold, Silver) with branded sponsor pages and logo placement.

Yes. Conference generates customizable badge templates with attendee names, organizations, and QR codes. Print badges on-site or in advance. QR codes on badges enable fast check-in at sessions and networking scanning.

Yes. Who's In Conference supports both in-person and virtual attendees. You can manage separate ticket types, track attendance across formats, and provide different experiences for remote and on-site participants.

Who's In Clubs

Who's In Clubs is a membership community platform for real-world groups. It includes membership tiers, payments, group messaging, recurring events, and attendance tracking — all built for communities that meet in person.

Clubs costs $8.25/mo flat rate for organizers. Members join for free. There are no platform fees on membership payments — members only pay standard Stripe processing fees.

Yes. You can create multiple membership tiers with custom pricing, powered by Stripe. For example: Free, Premium ($15/mo), and VIP ($50/mo) — each with different access levels to events and content.

Who's In Clubs is purpose-built for real-world communities that meet in person. Unlike Discord or Slack, it includes event management, attendance tracking, payment collection, and RSVP workflows — not just messaging.

Yes. Clubs integrates fully with Who's In Events. Club organizers can create events visible only to members, and members can RSVP, join waitlists, and check in using the same familiar one-tap experience.

Technical & Privacy

Yes. Who's In uses HTTPS encryption for all data in transit, Firebase security rules for database access control, and Stripe PCI Level 1 compliance for payment processing. Your data is hosted on Google Cloud infrastructure.

Who's In uses Google Analytics 4 with consent denied by default. No tracking occurs without explicit opt-in from the user. We do not sell data to third parties and we do not display ads on the platform.

Yes. Who's In provides WebMCP tools and a REST API for AI assistants. ChatGPT, Claude, Gemini, and Grok can create events, manage RSVPs, and check attendee lists on your behalf via secure OAuth 2.0 authentication.

Yes. Who's In is a Progressive Web App (PWA) that can be installed on your phone's home screen. QR check-in works offline, so you can check guests in even without an internet connection at the venue.

Who's In supports all modern browsers including Chrome, Safari, Firefox, and Edge on both desktop and mobile. As a PWA, it can also be installed as a standalone app on iOS and Android devices.
